Running a business involves the skilful management of financial resources and the need to settle taxes correctly. Many entrepreneurs fear whether they will be able to cope with these tasks and, on the other hand, do not want to expose their company to high costs associated with hiring an accountant. Is independent bookkeeping the best solution? What issues should be borne in mind? How much does it cost to provide bookkeeping services to a one-person company?
Bookkeeping - what options does a business owner have?
When we dream about our own business and plan to set up a company, we are particularly concerned about accounting issues. We think that we need specialised knowledge in order to be able to settle accounts with the tax authorities and perform other important tasks related to the company's documentation. We also do not want to immediately expose ourselves to the high costs that are associated with hiring a professional accountant. So what options do we have? In order to set up a business, we must first submit a CEIDG application. It is on this that we indicate the entity responsible for keeping the company's accounts. We have the following options to choose from:
- employment of own accountant;
- outsourcing accounting management to an accounting firm;
- independent bookkeeping.
The first solution is usually chosen by larger companies with a large number of employees. Most often, they create a whole department with appropriate specialists - unfortunately, this is a considerable cost, so many entrepreneurs will not be able to use such a solution for financial reasons. Maintaining bookkeeping on your own will significantly reduce expenses. Moreover, it is worth remembering that small companies often use simplified procedures, which make bookkeeping much easier. In such a case, when filling in the CEIDG form, we should leave blanks in the place where we have to enter information concerning the entity responsible for accounting settlements.
Bookkeeping in a small business - how to properly handle it yourself?
One of the most important duties that await an entrepreneur in terms of bookkeeping is the maintenance of an income and expenditure ledger. This is simply an uncomplicated record in which all company expenses and sales transactions are recorded on the basis of accounting evidence (e.g. invoices and receipts). Although it is not a difficult task, it definitely requires time and patience. After all, we must avoid mistakes that could cause considerable confusion in the company. Based on the income and expense ledger, we calculate income tax. It is also necessary to mention the income register, where we record earnings. In addition, bookkeeping in a small business also includes the need to keep:
- mileage records when using a private car for business purposes;
- VAT records;
- equipment records - these are accessories and equipment with a value of more than PLN 1,500;
- records of tangible and intangible assets - the documentation should include purchases of more than PLN 3,500.
Of course, the entrepreneur is obliged to complete and submit tax returns in good time. Important note: all company and tax-related documents must be kept. Tax declarations must be kept at the company's registered office for at least five years after the end of the year in which the annual tax return for the relevant tax year was filed.
How much does it cost to provide accounting services to a one-person business?
Do you want to focus on developing your business and activities leading to new customers? You don't want to bother with bookkeeping, but hiring a new employee is not the optimal solution for you because of the high costs? Then you can use the services of an accountancy firm.
When you are looking for the right service provider for you, pay attention to the competence of the professionals employed at the place. It used to be that a person setting up an accounting office had to have a certificate issued by the Ministry of Finance. Today, such a document is no longer necessary, but it is always worth asking about it. This is the easiest way to check the competence of an accountant. The second important issue will be insurance - an accounting office should have a civil liability policy. It is also important to check what events are covered by the policy. However, there is no doubt that entrepreneurs are looking for a value for money accounting office. No one wants to overpay and expose the company to high costs that can, after all, be avoided. So how much does it cost to have an accountancy firm do your bookkeeping? Prices will of course vary, but finding the right offer should not be difficult. For example, the monthly cost of accountancy bookkeeping in most does not exceed PLN 350. However, in choosing an accounting office, we should not only suggest the price list of services, let's remember about references and quality.
