Google Forms is a free tool for creating surveys and collecting and analysing responses. The intuitive tool has already been appreciated by a large number of students who use it for surveys required for their theses, but there is nothing stopping you from using its functionality in your workplace. Find out how to use the form and share your first survey!
Google forms - what are they?
Google Forms is one of the applications included in the Google Workspace office tool. Among other things, it allows cloud-based work on text documents, spreadsheets and multimedia presentations, and the use of a secure mailbox. Any user can also create Google forms. A survey made in the app can contain different types of open and closed questions. There is also an option to add images and sections. The collected data is presented in the form of attractive graphs, but one can also be tempted to interpret and visualise it in a spreadsheet on their own.
What to use Google Forms for?
Wondering what processes or tasks in your work could be performed based on Google forms? You could treat the answers to questions as feedback on your opinions about a product or service. Another option is to create a survey for a holiday request, an order for office supplies or other supplies, or confirmation of attendance at a company event. You can even create a training and knowledge test for new employees.
In fact, there are no limits to how you can use the form. Surely more ideas will pop into your head as you learn to use the tool and explore all its possibilities.
How do I set up Google forms correctly?
In order to use the free surveys, you need to create a Google account. If you already have one, let's move on to how to make a Google form. Once you have logged into your account, find the icon made up of nine dots - it should be at the top of the screen. When you click it, select 'Forms' (or 'Forms' in English). You will be taken to a panel where you can view the surveys you have already created or create a new one. To do this, click on the plus icon next to the ready-made templates.
This is where we already configure our custom survey. We can give it a title, add a description, graphics and individual questions. We can choose from a number of different options and types - basic open and closed or ones that include a scale. For each question, you can add a photo and tick the answers to move on to the next section or complete the form.
You can work on the survey yourself or with another person if you grant them access to the file. You can make it available to users via email or a link. If you have your own website or blog and want to conduct a survey on it, you can use the embed code to do this. Collecting and analysing the responses is also very easy, as the tool automatically collates the data in the form of a pie chart or bar chart and calculates the percentages.
Options in Google forms to use
Getting comfortable and finding your way around the app's features may come with time, but it's worth exploring the options available in Google Forms now. Conditional questions, a drop-down list or a grid of checkboxes are just some of them.
- Sections - use the split if only some of the questions apply to all respondents or you want to separate the metrics.
- Conditional questions - allow the survey to be terminated or moved to another section, depending on the answer given.
- Drop-down list - allows you to include your answers in a list, useful when there are a large number of available answers.
- Checkbox grid - is a form of question in which users select one or more options on each line.
- Custom photos - can make the form more attractive or functional.
- Exporting the data to a spreadsheet - allows you to save the results and do the analysis yourself in popular tools.
Why use Google Forms?
Finally, we will tell you why it is worth taking advantage of the opportunities provided by Google forms. Firstly, answers in surveys can be given anonymously or only by logged-in users This allows us to verify the reliability of the collected information and eliminate forms filled in by random users - if we want to target the survey only to our employees or clients, for example. In addition, the data collected during the survey is stored in the cloud, so we can access it on any device without fear of accidental deletion or loss due to destruction of the data carrier.
What other advantages do Google Forms have? The results of our surveys, as we have already mentioned, can be easily analysed from within the tool itself, but if you want to go one step further - you can also save them on your computer and work on them in a spreadsheet. For many users, the most important option of the tool is the ability to conduct the survey online, but you can also print the finished survey.
Not sure how to save a Google Form as a PDF? Simply click on the icon of the three vertical dots in the top right corner of the screen and select "Print". Then, in the print window, when selecting a printer, select "Save as PDF" and you're done!
